We are seeking an experienced, skilled and highly self-motivated individual to be our Co-Practice Manager alongside our current Practice Manager who is undergoing post-graduate studies and will be less available from July 2024. This role will be shared, with growth and expansion in 2024. Ideally we are seeking an applicant who would like to develop and grow in this role long-term.

The successful applicant must possess a strong and high standard of work ethic, highly evolved communication and interpersonal skills, high emotional intelligence, and align with our Business’s core values and ethos. We are looking for the right person to fit the role and our team, and therefore we will be flexible in making this a part-time or full-time position.

Little Window’s Co-Practice Manager would ideally begin training in this position as soon as possible.

The role is dynamic, fast-paced, and provides varied tasks with regular and consistent face-to-face collaboration with our team. You would be responsible for overseeing the day-to-day operations of the practice as well hold the larger perspective or running a business, and will work closely with the Directors, our Client Support Team and Therapy Team.

Your training will commence with a comprehensive Client Support Team (CST) role training, as it is a fundamental component of understanding the business operations and client care before moving further into your Practice Management training at Little Window.

Responsibilities:

The Practice Manager will -

  • Demonstrate alignment with Little Window’s values of respect, integrity, compassion, care, generosity, self-accountability, authenticity, safety and social justice.
  • Demonstrate leadership and management skills including confidence to direct team members, assert clear professional boundaries, provide constructive and performance related feedback, manage team dynamics and communicate about/implement process changes.
  • Demonstrate alignment with the vision for Little Window’s philosophy of practice for exceptional client care using a relational and attachment-based framework, strong work ethic and willingness to go above and beyond for the team and client community.
  • Possess high capacity to self-reflect, be self-aware and engage in professional/personal feedback processes.
  • Possess a high level of emotional intelligence and deep understanding of the self and others' behaviours within a management and team context.
  • Demonstrate excellent problem-solving skills and ability to be self-reliant and self-directive when it comes to tasks.
  • Be responsible for project management of tasks with the ability to organise several components of a task (delegation, organisation of people, tasks and time frames).
  • Demonstrate sense of innovation and creativity: ability to look at the bigger picture and be motivated to look at and implement what can be improved or enhanced at Little Window.
  • Provide leadership, guidance, support, management and continuity of presence for the team.
  • Be in regular and frequent contact and collaboration with the Directors around business operations, team management, clinical support/debriefing/case management for therapists and CST operations.
  • Be proficient in managing and communicating within different platforms, such as Google Drive
  • Supervise the work of others, including work and client allocation and rostering.
  • Ensure smooth day-to-day operations.
  • Support with recruitment and training of new team members.
  • Have attention to detail and task management.
  • Be responsible for building and property management and space care.
  • Be responsible for IT trouble-shooting.
  • Liaise and collaborate with the business’s bookkeeper around financial matters.
  • Facilitate regular operational, professional development, growth and feedback meetings with all team members.
  • Engage in HR duties.
  • Be across client and team care and safety from a therapeutic perspective.
  • Provide incidental, formal support and debriefing to the therapy team.
  • Support the Directors with business strategy and planning.

Essential Criteria

  • Previous experience of 3 or more years as a Practice Manager of an allied health or medical practice
  • Previous management and leadership experience
  • Experienced at IT Softwares
  • Possess advanced communication and interpersonal skills, both verbal and written
  • Experience or interest in the mental health field

Desirable Criteria

  • Experience with or interest in marketing
  • Previous experience working in the mental health industry
  • Previous experience managing a psychology private practice
