Our team of physiotherapists, occupational therapists, speech pathologists, exercise physiologists, social workers and psychologists provide clinic-based services in our expansive, brand new Ashford site as well as on the road in our client’s homes and communities.

About the Role

ONE Rehabilitation Service is searching for an experienced and results-driven Practice Manager to join our team. Our new team member will have proven success in business management and development.

You will be closely supported by the Director and Leadership Team to make sure our clinic is as welcoming a space as possible for our clients and that our administrative systems are running smoothly so that the whole team can operate in a coordinated and professional manner.

As our Practice Manager, you will be a pivotal player in the ONE Rehabilitation Service Team and be empowered to really own the role and make your mark. Most importantly, your work will matter and be recognised.

Key Responsibilities:

  • Coordinate the daily operations of the clinic through a combination of ‘hands on’ tasks, front desk reception, daily administration, and strategic planning
  • Work with the Receptionist and Clinical Services Manager to ensure that all our clients have a smooth and seamless experience and that our team of clinicians are supported in their roles
  • Working with our Director, you will develop, continually improve, and maintain our clinic systems, policies, and procedures to ensure efficient business and clinic practices
  • Responsible for the daily financial management of the business. Using our practice management software Splose and Xero you will manage and maintain a complex weekly invoicing system, complete bank reconciliation for both accounts payable and receivable and process payroll fortnightly for 25+ staff
  • Maintain several client, billing, and team member databases to monitor performance
  • Manage the human resources for the clinic, providing new team members with appropriate onboarding, ensuring the entire team is appropriately credentialed and assisting the Director and Leadership team with recruitment
  • Responsible for WHS, conducting bi-annual audits, coordinating external maintenance, and reviewing our safe operating procedures
  • Working with the Director, you will assist with marketing the practice via a combination of social media, blog posts, newsletters and will help create our digital and print marketing and brand materials, ensuring brand image and AHPRA advertising guidelines are adhered to
  • Using Mailchimp and Splose you will maintain our CRMs
  • Responsible for event marketing and coordination for both external and in-house events
  • Maintain the broader marketing/events calendar
  • Manage our vehicle fleet
  • Provide IT support to the wider team
  • Provide general assistance and support to the clinical and administrative teams
  • Work collaboratively with the whole team to deliver an excellent service to clients, allied health professionals and referrers.

  • You are love working in a fast-paced environment. We are a busy clinic, and the role will require you to be comfortable with multi-tasking
  • You have strong analytical ability that delivers solution-based outcomes. A proactive approach is essential as you will be called upon to offer solutions for building and improving business procedures
  • You are resourceful – if you do not have the answer, you go out and find it
  • You are comfortable working both independently and collaboratively within a team
  • You are educated and a quick learner and have strong computer skills especially Microsoft Office Suite and are willing to learn the intricacies of our internal systems
  • You are very comfortable using Microsoft Excel and Xero
  • You have a positive, can-do attitude and a great sense of humour. You bring energy to the room and love to have fun at work
  • You are fully aware of the need to maintain absolute confidentiality regarding patient information
  • You are somebody who shows initiative, and you are always looking for things to do
  • Current National Police Check
  • Current Working with Children Check

Desirable

  • A bachelor's degree in either Health or Business Management field
  • A minimum of 3 years works experience in a similar management role
  • Experience with tools such as Facebook Business and Ads Manager, Google Ads, Hootsuite, Canva & Google Analytics along with experience within the allied health industry and knowledge of AHPRA advertising guidelines is advantageous.
